What This Does

Copilot in Outlook can summarize a stack of unread email into a short overview so you know what actually needs a same-day reply, and it can draft or rewrite a message directly in the compose window instead of you starting from a blank subject line. Together they cut the standing morning triage block down to a few minutes of review.

Before You Start

  • You have Outlook open, desktop app or web at outlook.office.com
  • Your organization has a Microsoft 365 Copilot license added to the subscription. Ask IT if you are unsure, or check for a Copilot icon in the ribbon as a quick signal. See Microsoft's Copilot page for current plan details
  • You have a backlog of unread email or a message you need to reply to

Steps

1. Find the Copilot feature

For triage, look for Copilot's unread email summary option, generally surfaced near the top of your inbox or through the Copilot icon in the ribbon. For drafting, open a new message or a reply and look for the Copilot icon in the compose toolbar.

2. Tell it what you need

For triage, ask it to prioritize rather than just list everything: "Summarize my unread emails from the last two days and flag anything from a supplier or my CFO that needs a same-day reply." For drafting, describe the reply you want in a sentence or two, and Copilot writes a first pass directly in the compose canvas.

3. Review and use the result

Read the flagged items first. Copilot's summary tells you what is waiting, not whether the underlying facts are right, so open anything with a number or a commitment attached before you act on the summary alone. For a draft, you can ask Copilot to rewrite just a paragraph rather than the whole message if only one part misses the mark.

Real Example

Scenario: You are back from two days at a supplier site with 90 unread emails, and you need to know what actually requires action before your 10am call.

What you type: "Summarize my unread emails from the last two days. Flag anything from Supplier B or from finance that needs a reply today."

What you get: A short list: a supplier confirming a revised ship date, a finance question about a PO amount, and a scheduling request you can push to tomorrow. You reply to the two that matter and archive the rest with confidence instead of scrolling through all 90.

Tips

  • Ask for a specific window ("the last two days," "since Friday") rather than "summarize my inbox." A bounded request produces a tighter, more useful list.
  • Supplier and executive email often carries pricing or contract terms. Before you rely on Copilot for those threads, confirm with IT that your organization's Copilot deployment keeps that data inside your tenant rather than sending it to a general-purpose consumer tool.
  • Any number Copilot surfaces in a summary, a quoted price, a quantity, a date, is worth a quick check against the original email or the ERP before you repeat it to a supplier or forward it up the chain.

Tool interfaces change. If these options have moved, look for a Copilot or sparkle icon near your inbox list or in the compose toolbar.
