Use Copilot in Outlook for Meeting and Reschedule Logistics

What This Does
A supplier call and an internal standup landing on top of each other used to mean you manually hunting for a new slot and emailing everyone the change. Copilot can watch a specific meeting for conflicts and propose, or automatically apply, a reschedule when a new event lands on top of it, within limits you set.
Before You Start
- You use New Outlook for Windows, Outlook on the web, or the Microsoft 365 Calendar in Microsoft Teams. Classic Outlook does not carry this feature
- Your organization has a Microsoft 365 Copilot license. Rollout of this specific feature has been staged since it was announced in February 2026, so confirm with IT whether it is turned on for your tenant yet. See Microsoft's support page on automatic rescheduling for current availability
- The event you want to protect is a one-on-one meeting or a personal appointment. Copilot only reschedules these two types, not group meetings
Steps
1. Find the Copilot feature
Open the event, new or existing, and look for a toggle labeled "If conflicts arise, let Copilot reschedule this event." It sits with the event's other options, not in a separate Copilot pane.
2. Tell it what you need
Turn the toggle on for the event or the full recurring series. Then set your acceptable days and times, an optional step Microsoft recommends, so Copilot has real constraints instead of guessing at what counts as a good alternative slot.
3. Review and use the result
Copilot only acts when an actual conflict shows up, when you accept a new invite or schedule something else at the same time. It does not scan your calendar looking for conflicts to fix proactively. When it does reschedule something, check the notifications pane in Outlook to confirm the new time and let the other attendee know if it is a supplier-facing meeting rather than an internal one.
Real Example
Scenario: You have a recurring Tuesday call with your top freight carrier, and internal S&OP prep meetings keep getting scheduled on top of it at the last minute.
What you do: Open the recurring carrier call, turn on "If conflicts arise, let Copilot reschedule this event," and set acceptable alternative times to Tuesday or Wednesday afternoons.
What you get: The next time an internal meeting lands on that slot, Copilot proposes or applies a move to one of your approved windows and shows a confirmation in your notifications pane, instead of you noticing the double-booking an hour beforehand.
Tips
- Turn this on for meetings you personally own the relationship for, like a standing carrier or supplier call, rather than every meeting on your calendar. It only covers one-on-ones and personal appointments anyway.
- If a rescheduled meeting is supplier-facing, send a quick confirmation note yourself. Copilot updates your calendar, but a supplier may not see an automated calendar change as a real notification.
- Because rollout has been staged by tenant, do not assume every manager on your team has this option just because you do. Check with IT before you build a process around it.
- This feature only moves meeting times. It does not touch numbers, but if Copilot's confirmation note or an agenda summary references a figure from the meeting, still check that figure against the ERP or source sheet before it goes to a supplier or leadership.
Tool interfaces change. If this toggle has moved, look for a similar Copilot or automatic scheduling option in the event details.
