Summarize KPI Dashboards with Power BI Copilot for Leadership

What This Does

Your COO wants three sentences, not a dashboard walkthrough. Power BI's Copilot pane reads the report you already have open and writes a narrative summary of the current period, highlighting anomalies and trends, and it updates as you change filters for a different audience.

Before You Start

• You have a Power BI report open with your KPI data (fill rate, OTIF, inventory turns, freight cost per unit)
• Your workspace runs on a paid Fabric capacity (F2 or higher) or Power BI Premium (P1 or higher). A standard Power BI Pro license by itself does not turn on Copilot, no matter what plan the rest of your team is on. Check with whoever administers your Power BI tenant, or see Microsoft's Power BI Copilot requirements for the current capacity rules
• You have at least read access to the report to generate a summary

Steps

1. Find the Copilot feature

Open the report in Power BI Service in a browser and look for the Copilot icon in the report pane, usually along the top or side of the report view. This is separate from the older Q&A visual, which answers a single question rather than narrating the whole report.

2. Tell it what you need

Ask for a summary scoped to what your audience cares about, not a generic recap. Naming the metrics and the audience gets a tighter result than "summarize this report."

Example: "Summarize this month's fill rate, OTIF, and freight cost per unit in three sentences a COO could read in a hallway."

3. Review and use the result

Read the summary against the underlying visuals before you send it anywhere. Change a filter, by region, by product line, by month, and Copilot regenerates the narrative for that slice, which is useful when the same dashboard needs a different cut for a plant manager versus the COO.

Real Example

Scenario: Monday's leadership meeting starts in twenty minutes, and you need a one-paragraph state of the KPI dashboard instead of walking three executives through every chart.

What you type: "Summarize the key changes in this month's supply chain KPI report. Call out anything that moved more than 5 percent from last month."

What you get: A short paragraph noting that OTIF slipped for one region, freight cost per unit held flat, and inventory turns improved. You paste it into the meeting invite as a pre-read instead of building a recap slide from scratch.

Tips

• Filter the report to the audience first. Then ask for the summary, since Copilot narrates what is currently visible, not the full unfiltered dataset.
• Every number Copilot states in a summary is a starting point, not a submitted figure. Check anything that will reach the COO, the CFO, or a supplier against the ERP or your source data before it goes out, since Copilot can misread a visual or a stale cached value.
• If your organization has not enabled Copilot yet because of the capacity requirement, the Q&A visual (available on Power BI Pro) still answers specific questions like "OTIF by supplier this quarter," even without the narrative summary.

Tool interfaces change and Copilot availability depends on your organization's Fabric capacity. If the Copilot icon is missing, check with your Power BI or IT team before assuming it does not exist.
